Bill Pay

Bill pay is the centralized process by which a family office collects, reviews, approves, and pays all invoices and obligations across family members and legal entities.

Families with significant wealth rarely have a single bank account and a handful of bills. More commonly, obligations flow in from multiple households, holding companies, trusts, partnerships, and operating businesses — each with its own vendors, recurring expenses, and payment deadlines. Centralized bill pay means the family office acts as the single hub where all of those obligations are received, coded to the right entity or budget category, approved according to the family's approval matrix, and paid on schedule. This creates a clear, auditable record of where money is going across the entire family enterprise.

The practical mechanics vary. Some offices use dedicated accounts payable software; others work through their accounting platform. What matters more than the tool is the process: invoices should be reviewed for accuracy before payment, matched to expected obligations where possible, and released only after appropriate sign-off. This discipline catches errors, deters fraud, and produces clean books that make tax preparation and financial reporting significantly easier.

A common confusion is treating bill pay as a clerical task rather than a control function. In reality, it is one of the places where financial mismanagement and fraud are most likely to appear — through duplicate invoices, inflated vendor charges, or unauthorized payments. Families typically build explicit review steps and separation of duties into the bill pay process for exactly this reason. The dual control principle, which requires two people to authorize significant outflows, is often applied here.
