Password Manager

A software application that generates, encrypts, and stores unique passwords for every account in a single protected vault, accessed through one strong master credential.

A password manager solves a problem that affects virtually every organization: people reuse passwords because unique, complex ones are impossible to memorize. Reused passwords mean that one breached site can cascade into many compromised accounts. A password manager removes that risk by creating a different, randomly generated password for every login and storing all of them in an encrypted vault.

For a family office — which commonly maintains accounts across banks, brokerages, legal document platforms, tax software, and benefits portals — a password manager is often the first and most cost-effective security upgrade available. Consider a hypothetical single family office with eight staff members: without a manager, passwords tend to be written down, emailed, or simply duplicated across platforms, each habit creating an exposure point.

Enterprise-grade password managers add features relevant to family offices specifically: shared vaults for team credentials with role-based access (meaning each person sees only what their role requires), audit logs showing who accessed what and when, and offboarding controls that revoke access the moment a staff member departs. These are meaningful safeguards given the social engineering risks that small, high-trust teams face.

A password manager works best alongside multi-factor authentication: the manager handles unique credentials, MFA handles proof of identity. Together they address the two most common entry points in financial account takeovers. Families typically introduce both controls early in the process of building a family office, before assets are fully consolidated onto new platforms.
